As we have discussed previously, creating systems in order to keep your business functioning properly will dramatically reduce the chaos and stress in your business. But it is also important to acknowledge that no matter how well-systematized your business may be, you’re always going to be busy. That’s the nature of running a business.

So here’s the question – how can you make sure that you stay focused and avoid costly mistakes despite the fact that your to-do list is so long that you can barely fit it on your desk?

Today, I am going to share several tips for functioning at a high level, even when you’re swamped. These are concepts that I have used and that I teach to my clients—so I can promise you that they MAKE a real difference.

1) Prioritize Constantly. When there is always something to be done, the key is that the most important things are where you focus.  Categorize your “to do list” into (4) categories…

(1) Very Important – serious consequences

(2) Important – will need to get done in the next week or so

(3) Not that Important – It would be nice to get it done

(4) Not important – no consequence.

For that reason, I highly recommend writing 6 things to do in your calendar the night before so you can sleep with a clear head.   In the morning all you have to do is follow the list …. stress free.  Don’t let yourself be sidetracked, unless something comes up that is truly a higher priority.

2) Limit Distractions. From phone calls to employee questions to your email inbox, the list of distractions goes on and on. Unless it is an absolute emergency discipline yourself to do these 3 things:

1.)  Work solid for 1 hour focused on your task without interruption (most people can wait an hour).  If this is too long for you, experiment with various time limits and see what works best.

2.)  Make it a point to only check your email at designated times.

3.)  Close your door and let all calls go to voice mail.  If it is an emergency don’t worry someone will do whatever it takes to get your attention!

3) Delegate and Empower. Your employees are one of your most valuable assets when it comes to staying productive. Simply put, you train them and empower them to take tasks off your “to-do list”.  Do your best NOT to micro manage them.  You want to encourage growth and self worth.   Hire strong employees, invest into their development – and then empower them to make decisions without coming to you for approval every twenty minutes.  After all, if they are spending all this time at your company you want them to be happy and not just showing up for a pay cheque.
